When you login to Versational, you land on the Recordings page. This page displays a list of all your uploaded recordings (shared with you by other team members), global search, filters, metrics and tags. On this landing page you can also
upload recordings manually and use the
mic recorder. When you integrate with Zoom, Teams or Google Meet your recordings will automatically upload after each meeting.
Overview
The first row of columns in Recordings can be
sorted or filtered by clicking on the column header.
The bottom of the table shows you the number of total recordings you have with the current filters applied.
- The Conversation Title of your recording is editable. Next to this is a checkmark that will turn green once you've clicked on the individual recording.
- The Date is the date it was uploaded.
- The Owner of the recording will be you, if you had uploaded it; or another team member, if shared with you.
- The Duration is the full recording time.
- Attendees in the recording need to be assigned, otherwise it will state Speaker A, B, etc.
- The number of confirmed Action Items in the recording requires your review.
- The total number of Insights are noted, with default as 0 until reviewed. Once you open the recording and confirm your insights, the total number will display in the Recording table.
- The Number of Comments made on the recording.
- The External Views when the recording is shared with others (guests and team members).
- The Number of Questions asked in the meeting or call.
- Tags that you can create for the recording (editable).
- The three horizontal dots or elipsis which offer you more actions.
- The orange Filter icon to display by File Type (audio or video), Most Recent, and Owner.
Uploading a recording
To upload a recording, click on the upload button on the top right. This is one of the easiest ways you can add recordings from different file storage sources or your phone recording app. Please note that uploading is not necessary if: 1) you have used the Versational web browser recording mic or 2) made integration connections during your Versational setup to Zoom, Teams or Google Meet.
This will bring up your local file storage, where you can select individual files or multiple files and then select 'Open'. Note that these files must be stored locally, they cannot live in Dropbox or another 3rd party storage tool.
Once you have selected your files, they will upload in a matter of seconds. During this time, please leave this Recordings page open until you receive a confirmation.

You can leave the page while it is being analyzed. You will be notified via email once the recording is ready to view.
Older recordings can now be easily added to AI-Ally in just 1 click. Recordings that are not recognised will have a Red border around the AI-Ally icon. Click on the icon to add the recording. The border will turn Green once the recording is added.
New recordings will be added to the AI-Ally library automatically. All recordings will have the AI-Ally icon with a Green border shown next to it.
Global Filters
For global filtering, click the filter icon on the top right. Only active filters will be displayed on the recordings table page. Inactive filters will need to be selected on the filter dropdown.
Global Search
To search across all your recording transcripts, use the search bar on the top left. Enter your key word or phrase into the search bar.
Global search works for speaker text and comments made on the transcripts. You will find the total number of times your search term is mentioned right below. Expand the row under each recording to see the sentences in which the search term was used. Click on the sentence to go directly to where it happened in the recording.
Export and Share your Global Search Results
You can export all your global search results for all your selected recordings as a CSV file by selecting the elipsis or three horizontal dots. The CSV file includes the mention, speaker, duration, meeting title, attendees and any associated action items, topics (Gems or custom insights).
To optimize your global export results, be sure to filter the recordings you want (date range, speaker names, owner) . Global search results can be optimized further when speakers are assigned to each meeting. You can also share your search results as a URL with others.
Recording Table Search
Each column heading in the recording table has a word search or filter parameter. To display all your recordings again, reset the column where you searched or filtered. At the bottom right of the recording table, you will see the number of recordings with your search or filter term. Two examples are shown below.
Search by word in the recording title.
Search by attendee for all recordings.
To export or share your search results, simply click the three dots next to the active search and choose your option.
